Grade Submission for the Current Semester
You can access your AIM grade rolls for the current semester from the last day of class until the grade submission deadline for the semester by following these steps:
- Click the “Submit Grades” button above.
- Your classes for the current semester will be listed.
- To find a past semester, click "Year Term" and select a different semester.
- If you do not see a class you need access to, contact your department to find out why you are not listed as the instructor.
- Click "Roll" (in the Links column) for the grade roll you need.
You can see the grade roll status on the Grade Roll Selection page or in the grade roll itself:
- Available - Grades are not in, and students will receive NS grades at the deadline.
- Saved - Grades are not in, and students will receive NS grades at the deadline.
- Submitted - Grades are in, and students will see their grades after the deadline.
- Posted - Grades are in, and students can now see their grades.
If needed, you can add Grading or Teaching Assistants to enter grades for you.
Grade Changes for Past Semesters
After grade processing is complete, you can change grades online in the grade roll.
- Click on the Change Grades button above.
- Select the semester by clicking on Year Term in the upper left corner.
- Select Roll for the class needed.
- Select students by checking the box in the left column, or click Select All.
- Click Change Grades.
- All the students selected will appear on the next screen along with the grade change policy.
- For each student, select the new grade and the reason for the change using the drop-down menus.
- Click Submit. An email will be sent to both the person making the grade change and the primary instructor for the class.
You can make a grade change for the following reasons:
- Calculation error in computing the grade
- Posting the wrong grade to the grade roll
- Changing a T grade
- Posting a grade if no grade roll was submitted (NS)
- Re-evaluation of completed work with no additional work submitted

Failing or T Grades & Financial Aid
When you enter a failing grade or a T grade in the AIM grade roll or in Learning Suite, you will be asked to enter the last date of participation for that student. This verification is required to determine how much federal student aid, if any, must be returned to the government.
The date of the last class participation will determine how much, if any, federal student aid must be returned to the government.
When deciding the date, consider the following student participation:
- Being physically present in class
- Turning in a class assignment
- Taking an exam
- Viewing a tutorial or computer-assisted instruction
- Attending a study group for class
- Taking part in an online class discussion
- Asking a faculty member about class material or content
Incomplete Contracts
- Students may request an Incomplete grade (I) if a non-academic emergency (serious illness, personal injury, death in the immediate family, etc.) occurs after the full withdrawal deadline. An Incomplete contract allows the student up to one year to complete unfinished coursework.
- When you submit final grades, an ‘I’ grade entered into the grade roll will change to a failing (E) grade until the Incomplete contract is received in the Registrar’s Office.
- To turn in a student's final grade, enter it directly on the Incomplete Contract online. You can also access the online contract from the AIM grade roll.

The grade submission process requires pop-ups to function correctly. To temporarily allow pop-ups, hold the Ctrl key on your keyboard while clicking save, submit, or post.

Toggle ItemWhat if I want someone else to submit my grades for me?
You can give someone the role of Grading or Teaching Assistant.

Toggle ItemI can view my grade roll for a class, but there is no way to input grades (no bubble sheet). Is something wrong?
There are two possibilities:
- Grade rolls are not yet available. They open on the last day of class for the semester and close at the grade submission deadline.
- Your grade roll is set to accept grades from the Learning Suite Gradebook instead of AIM. To change this, click on the Instructor Schedule page link above your list of students in the grade roll.

Toggle ItemWhat if I do not submit my grades on time?
Your students will receive NS (Not Submitted) grades and you will need to complete online grade changes in AIM as soon as possible after grade processing is complete.

Toggle ItemWhat if there is a student listed on my grade roll who has never attended or stopped attending my class?
Enter a failing grade (E) for the student. It is the student's responsibility to check for any registration errors.

Toggle ItemI'm in my grade roll, but there is no grade change column. Why?
The semester may not be historical yet, or you may not have access to change grades for that class.

Toggle ItemHow long do I have to change grades?
You can change a grade any time after a semester becomes historical. Change grades promptly, especially those submitted as NS grades.

Toggle ItemCan I change T grades for multiple semesters?
Yes. You can change multiple semesters for 699R and 799R classes. Go into one semester of that class and select "Changing a T grade" as the reason. You'll be asked if you want to change the grade for that semester only or all of the T grades for that class.

Toggle ItemHow will I know if an unauthorized grade change has been made?
You'll receive an email whenever a grade change is made to your grade roll. Entering into an Incomplete contract with a student will also generate an email, since an I grade is placed in the grade roll.
